ID-Aware Terms and Conditions of Sale and Service

Please read these terms and conditions carefully as they affect your lawful rights and liabilities and set out the
terms on which ID-Aware Services Ltd makes Registration Accounts and ID Tags available to you.

Privacy Policy

  • ID-Aware Ltd is committed to protecting your privacy. The following Privacy Policy sets out how we use and
    protect the information you provide us.
  • By accessing or using the ID-Aware website, you agree to the terms of ID-Aware Privacy Policy, as set out below.
  • ID-Aware reserves the right to change the Privacy Policy from time to time at its sole discretion. Your use of this
    or any ID-Aware site will be subject to the most current version of the Privacy Policy at the time of such use.
  • ID-Aware is registered with the Information Commissioner’s Office as a Data Controller under the Data Protection
    Act 1998 – Registration Number (awaiting November 2017).
  • Your monthly ID-Aware registration will be paid by credit / debit card and your card details are held in accordance
    with the PCI DSS (Payment Card Industry Data Security Standard)

Use of cookies

  • In order to improve our site, we may use “cookies” to track ‘Account Holder’ visits and to process orders. A
    cookie is a small amount of data that is transferred to the ‘Account Holder’s’ browser by a web server and can
    only be read by the server that sent it to the ‘Account Holder’.
  • Most browsers are initially set to accept cookies. ‘Account Holders’ may set their browser to notify them when
    they receive a cookie, giving them opportunity to accept of decline a cookie.
  • While ID-Aware uses cookies to track your visit, and our web servers automatically log the IP/Internet address of
    your computer, this information does not identify you personally.

Your information

  • When you register as an Account Holder with ID-Aware through the website, you may store the following types
    of information:
  • Information needed to communicate with you by telephone, post or email.
  • ID-Aware Tag numbers, used by the Telephone Support Team to access the Account Holder Membership
  • Information that will assist someone finding any item of personal property item, to be reunited with you, via
    telephone contact.
  • Assistance Information that is specific to a person or pet, using an ID-Aware tag to identify them if found and
    reported to ID-Aware; as needing contact with the ‘Account Holder’ and or medical assistance at the time.

How Your Information is used

  • To administer the website, assist ‘Account Holder’s with enquiries and for the purpose of administering the
    ‘Telephone Support’ when a person, pet or item of personal property is found, or any person or pet is reported
    to ID-Aware as found needing assistance and requesting telephone contact with the ‘Account Holder’ relating to
  • To communicate ‘Account Holder’ entered data / Emergency Assistance Notes, requested by the ‘Account
    Holder’ to be communicated to any person, reporting an item of personal property as found and needing to be
    reunited with the ‘Account Holder’ and or in the case of a pet or person, any ‘Emergency Assistance Notes’ that
    may assist the pet or person found.
  • To inform ‘Account Holders’ about special offers, new products, services, promotions, and other similar
    information which we offer which may be of interest to you.
  • To contact ‘‘Account Holder’s’ by post, telephone, or e-mail.

Disclosing your information to third parties

  • In the event of a person being found ill, injured or needing assistance, ID-Aware will provide any recorded Public
    Emergency Assistance Notes and other such information listed/declared as available for the public as necessary.
  • ID-Aware does not sell, trade, or rent your information to others, but reserves the right to provide aggregate data
    to third parties for statistical analysis.
  • Such data will not be linked to any particular individuals. ID-Aware does not disclose your information to third
    parties without consent unless legally required to do so or where such disclosure is necessary to enable third
    parties who act for us to process your order. Those third parties process information, fulfil and deliver orders,
    process credit card payments and provide support services on our behalf. ‘Account Holder’ information will
    sometimes be used to inform ‘Account Holder’s of other products, services and special offers from third parties,
    but only when specifically requested by the ‘Account Holder’. Upon registration with ID-Aware Services Ltd or
    placement an order on the ID-Aware websites, ‘Account Holder’s confirm that they do not consider any of the
    uses the information described above as being a breach of any of the rights conferred under the Data Protection

Terms & Conditions

Provided the ID-Aware Account is active and the monthly or other term period is current and paid up:

  • Account Holders may purchase ID Tags to add to their account at any time.
  • The maximum number of ID tags per account is unlimited.
  • After 10 x ID Tags any additional up to 10 x ID tags are charged at a total of £2.99 per month
    membership fee.
  • All ID tag numbers must be registered with ID-Aware through the website
  • ID tags for persons and pets require additional minimum information before the ID tag can be
    registered with ID-Aware which includes:
    • ID Tag number
    • Name of person / pet
    • Gender
    • Date of birth
    • Relationship to Account Holder (persons only)
    • Breed (pets only)
    • Additional Information which may be supplied:
      • Pictures of person / pet
      • ‘Emergency Assistance Notes’ for the person / pet on the date of information input:
      • Known medical conditions
      • Known medication regime
      • Assistance plan.
      • Notes:
        • Care Home address and contact numbers
        • School Address and contact numbers
        • Work Address and contact numbers
        • Notes
  • ID Tags for personal property minimum information required:
    • ID Tag number
    • Additional information that may be supplied:
      • Description of the personal property to which the ID Tag is attached.
      • Notes

When the information on an ID Device becomes illegible, it should be discarded and removed from the ID-Aware register.

ID-Aware Tag

An ‘ID-Aware Tag’ is any ID-Aware tag / label / wristband / card / fob or other device bearing the ID-Aware 24/7/
telephone number and a unique ID number.

Website Registrations & ID Tag purchases / Corporate Registration & ID packs

  • Initial Registration via website purchase:
    • Your first website generated order will include an initial Registration fee and 1 x ID Tag to be registered
      by the Account Holder.
    • At the point of the initial Registration and ID tag order, the Account Holder is offered the opportunity
      to add additional ID tags to their order.
    • Online payment is made for the initial Registration fee & ID Tag and any additional ID tags purchased
      and the setup of the ongoing monthly registration fee indicated, according to the number and type of
      ID Tags within the new registration.
    • An interim registration form is completed, which sets up a unique Account, the registered Account
      Holder and ongoing login procedure.
    • The registered Account Holder receives a registration / payment receipt by email, together with the
      login link to complete / update the ID-Aware Account Holder details as desired with such additional
      details as:
      • Emergency Contact list for Account Holder, family, doctor etc.
      • Holiday details as required.
      • Notes.
    • All purchased ID tags will be posted to the Account Holder. (see Deliveries)
    • Purchased ID tag numbers must each be registered with ID-Aware by the Account Holder, together with
      any minimum information required against each ID tag number.
    • ID-Aware accounts for which monthly, or other agreed term fees are current and up to date, the
      Account Holder may login to the account and purchase any number of additional ID tags, to add to the
      account together with any additional associated monthly fee.
  • Corporate Initial Registration and ID Tag pack & Term Code - Gift:
  • ID-Aware Registration and ID Tag packs may be provided to anyone who is part of a corporate body, education
    facility, care home facility etc.
    • A Registration and ID pack contains the information necessary to Register a first time Account Holder
      via the website together with 1 x ID tag for the set term, defined within the
      corporate pack code terms and conditions.
    • To register for the first time, recipients visit the website and complete an interim
      registration form, which sets up a unique Account Registration, Account Holder and ongoing login
      procedure. The initial payment expected is waived when the corporate code provided in the pack is
    • The registered Account Holder will receive a registration / payment receipt by email, together with the
      login connection to complete / update the ID-Aware Account Holder registration details as desired with
      such additional details as:
      • Emergency Contact list for Account Holder, family, doctor etc.
      • Holiday details as required.
      • Notes.
    • The corporate ID tag number must each be registered with ID-Aware by the Account Holder, together
      with any minimum information required by the system.
    • ID-Aware accounts for which term fees are paid by the corporate body, the Account Holder may to
      login to the account and purchase any number of additional ID tags to add to the account together with
      the associated monthly fee(s), which will be paid by the Account Holder.
    • After expiry of the corporate term, the Account Holder must pay the ongoing monthly or other term
      fees, associated with the ID tag(s) within the registration, but does not pay any initial registration fee.
  • Existing ID-Aware Account Holders provided with a Corporate Registration and ID Tag pack:
    • Simply login to the existing registered Account and add the ID tag to their existing membership
      together with the corporate pack code which will increase the member’s term by the pack term
  • It is the Account Holder’s responsibility to maintain their ID-Aware registration, fees due and any data stored
    within the registration.
  • Lapsed Registrations will be deleted from the system. (See lapsed registrations)

Monthly or other term periods agreed fees & lapsed accounts

  • Accounts remain ‘live’ for whatever term period the Account Holder has paid the required fees, or the corporate
    body has provided as a gift to the Account Holder.
  • It is the ‘Registered ‘Account Holder’s responsibility to ensure that their ’Registered Account’ remains live and
    paid up.
  • Accounts that lapse into unpaid status, will initiate a series of three auto generated emails to the Account Holder,
    on the day of the unpaid status, after 5 days and after 20 days, inviting the Account Holder to pay the required
    ongoing monthly fees for the account.
  • Failure to pay the monthly fees after 30 days and the account becomes ‘lapsed’ and is deleted from the ID-Aware
    systems and the Account Holder sent a confirmation email to inform them.

Registration Updates and Cancellation

  • At any time, an ‘Account Holder’s may update their registered account information and or ID Tag number
    information as required.
  • At any time, an Account Holder may cancel their ID-Aware Account, by logging into their Account and completing
    the cancellation procedure.
  • At the point of cancellation, all Account information will be deleted and a confirmation email sent to the
    Account Holder.

Telephone Answering Service (TAS)

  • ID-Aware provides a central point to report the finding of an ‘ID-Aware Tag’, which is attached to any item of
    personal property, or worn by any pet or person.
  • When the ‘ID Tag’ telephone number is dialled, the call is answered by TAS which is available 24/7 365 days of
    the year.
  • TAS locate the Account Holder and their emergency contact list, by searching the database using the ID Tag
    number provided by the finder.
  • TAS commence one of two Found reports dependent on whether the find is of personal property needing
    reunification with the Account Holder, or a pet or person needing assistance.

Services 24/7/365 - ‘Found needing reunification (personal property ID)’ & ‘Found needing assistance (personal and pet

‘24/7/365 Found needing reunification report’

  • In the case of personal property being found with an ID-Aware tag attached to it bearing the 24/7/telephone
    number and ID number:
  • The finder may telephone TAS and provide the ID Tag number.
  • TAS use the ID Tag number to locate the Account Holder and commence a ‘Found needing reunification report’.
  • TAS will record the following details from the Finder:
    • Name
    • Contact details (telephone and email address)
    • Date and time of finding the property
    • Location of found personal property
    • Description of property found
  • TAS will use the Account Holder’s emergency contact details list, to telephone the Account Holder with the
    Found report and contact details provided by the Finder. The Found report will also be emailed to the Account
    Holders’ email address automatically on saving.
  • When contact with the Account Holder is established, TAS close the report as complete, which remains on the
    Account Holder’s Account and can be viewed at any time by the Account Holder or TAS.

‘24/7/365 Found needing assistance report’

  • When a person or pet is found needing assistance and wearing an ID-Aware Tag, the reporting process is
  • The finder may telephone the Telephone Support Team (TAS) and provide the ID Tag number.
  • TAS use the ID Tag number to locate the Account Holder and commence a ‘Found needing assistance report’.
  • TAS will record the following details from the Finder:
    • Name
    • Contact details (telephone and email address)
    • Date and time of finding the person or pet
    • Location of person or pet
    • Type of assistance required (lost / ill / injured etc)
    • Is an ambulance required? If so Finder directed to call 999 ambulance and call back ID-Aware as
    • Other useful information from the finder as appropriate.
  • TAS will use the Account Holder’s emergency contact details list, to telephone the Account Holder with the
    Found needing assistance report and contact details provided by the Finder. The ‘Found needing assistance
    report’ will also be emailed to the Account Holder’s email address automatically on saving.
  • TAS will provide the Finder with all details recorded under the ID Tag number, including name / date of birth /
    gender and any ‘Emergency Assistance Notes’ and notes which has been recorded by the Account Holder.
  • TAS may also email and or text these details to the Finder (as necessary or most convenient for the finder) and
    the Found Report will record that they have done so.
  • TAS will also accept further calls from the emergency services for Emergency Assistance Notes’ as required and
    text / email the Report details and information stored under the ID tag number to the emergency services as
  • When contact with the Account Holder is established and the matter is resolved, TAS close the found needing
    assistance report as complete, which remains on the Account Holder’s Account and can be viewed at any time by
    the Account Holder or TAS.

Prices / Fees

  • Current prices for initial Registration, ID Tags and ongoing monthly fees are displayed on the ID-Aware website.
  • All ongoing monthly fees are fixed for existing Account Holders as the fee currently paid each month for the ID
    tags associated with the registration at that time.
  • Any additional ID tags added to a registration after a price increase, will be charged at the new fee rate, with
    existing ID tags charged at the pre-price increase rate.

Availability of ID Tags and Services

  • ID tags available are displayed on the ID-Aware website shop.
  • ID tags change in style and availability from time to time as demand and other factors dictate at the sole
    discretion of ID-Aware.
  • ID-Aware has the right to cease its services with twelve months’ notice to account holders, that being the
    maximum timeframe for ongoing registration fees paid in advance.


  • Payments required for Initial Registration & ID Tag, additional ID tags and ongoing monthly or other agreed term
    period fees, are dictated by the ID-Aware website shop displayed prices at the time of purchase.
  • Corporate Registration and ID Pack terms, are determined by the arrangements agreed between the corporate
    body and ID-Aware and cannot be individually varied.

ID Tag Delivery

  • Delivery of purchased ID-Aware products will be made to the address specified by you at the time of ordering.
  • A delivery charge of £2.00 may apply to individual member orders delivered to any UK address
  • An unspecified delivery charge, may be made for bulk orders for one or more members to any single UK or
    international address.
  • Deliveries will be by Royal Mail unless otherwise stated.
  • Delivery of purchased ID Tags, will be within 10 working days.


  • The ID-Aware Service operates 24/7 365 Days per annum and has done since September 2007.
  • The 24/7/365 Telephone Support Service, is manned with live Support Team staff, who endeavour to answer all
    ‘found’ calls within a reasonable period of time.
  • Found reports, received by telephone call, are dealt with promptly and at the time of the report subject to the
    • ID tag numbers must have been registered within the service terms and conditions.
    • Overload of telephone calls received at the time of the ‘found’ report being made. (subsequently
      proven by call statistics)
    • Technical difficulties outside of ID-Aware control i.e. acts of God (telephone provider / electricity
      provider failure etc) which can be proven after the event.

  • As with all service providers, ID-Aware cannot guarantee a faultless service, however we can guarantee a full
    refund of all fees paid within the current years, if the service falls short of perfection at any time. (see refund and
    liability policy).
  • The ID-Aware service is an assistance service, which is guaranteed to the extent that we are operational 24/7 365
    days of the year only. However, the service provided is not an emergency support service and is limited to
    accepting telephone calls from finders of ID tags, passing on the finder contact information to Account Holders
    and relaying data held against the ID tag number to the finder as required by written notice of the Account
  • All calls to ID-Aware are recorded and timed with complete log of number called, calling number and on hold

Refund policy

  • Defective ID Tags or illegible ID Tag telephone or ID numbers:
    • Notification to ID-Aware between 1-100 days after purchase date:
      • Once an ID tag is returned to (ID-Aware address for refunds) which can be found on the
      • A full refund, by way of new replacement ID Tag delivered to the Account Holder.
    • Notification of Defective of illegible ID tag 100+ days after purchase – no refund except at the sole
      discretion of ID-Aware.
    • Please note the following points in relation to returns:
    • Keep the product with the original packaging and in its original condition.
    • ID-Aware shall not be liable for the non-receipt by us of returned ‘Products’ and or ‘ID Devices’. Please
      send returned ‘Products’ and or ‘ID Devices’ to us by registered post and retain a copy of the certificate
      of posting from the Post Office.
    • (c) Upon receipt by us of the returned ‘Products’ and or ‘ID Devices’, your credit/debit card will be
      credited with the purchase price of the ‘Products’ and or ‘ID Devices’ (but excluding the relevant
      delivery charge and the return postal charges unless the products are faulty or returned due to an error
      on our part).
  • Non-performance of ‘24/7/365 Found Reporting Services:
    • Notice of non-performance of a ‘Found Report Service’:
    • In the unlikely event, a person (not the Account Holder or their family) attempts to report a found ID
      tag number to the 24/7 Telephone Support Team and is unable to do so and the ID tag number to be
      reported as found, has been properly registered with ID-Aware and is associated with a ‘live’ and paid
      up Account on the date of the report and the ID tag number to be reported, is used by any person / pet
      or personal property, properly registered together with the minimum required information and the
      non-performance was the fault of ID-Aware, rather than an act of God, or beyond the control of ID
      Aware (see liability policy):
      • A full refund of all payments received from the Account Holder within the current year (01/01
        – 31/12) will be provided to the Account Holder and the Account closed thereafter.

Liability policy

  • The maximum liability of ID-Aware for non-performance of ‘Found Services’ as described in ‘refunds’ is limited is
    the sum total of payments made during the year in which the non-performance is agreed to have occurred and
    will be limited in any event, to a sum not exceeding £50.00.
  • The adjudication of ‘non-performance’ of a ‘Found Service’ is decided by the Directors of ID-Aware Ltd and is
  • ID-Aware is not liable for any information stored in any Account by an Account Holder, nor for information from
    the account communicated in good faith, to a finder or the emergency services from time to time.
  • ID-Aware in not responsible for the accuracy of any data entered by Account Holders on its systems, which is
    entered entirely at their own risk and discretion.
  • Any information stored against a particular ID Tag number by an Account Holder, is deemed to be able to be
    communicated to any person reporting the ID tag as found together with the personal property / pet / person
    using the ID tag and registered in accordance with the service terms and conditions.
  • The day to day responsibility for ID-Aware Tag phone number and ID number legibility rests with the Account
    • Illegible tags less than 100 days old, are subject to the refund policy described.

  • Whilst we will endeavour to ensure that the website is available at all times, we will not be liable if for any reason
    the website is unavailable at any time or for any period.

Legal notice

This Online Purchasing Policy incorporates the terms set out in the Legal Notices and acceptance by you of the
Online Purchasing Policy shall be deemed to be an acceptance by you of the Legal Notices.
